Who we are
Integrity Digital Solutions LLP ("IDS", "we", "us", "our") is the operator of this website and the UK Sole Trader Accounting Suite. We are registered in England and Wales. You can contact us at any time at info@integritydigitalsolutions.co.uk. We are the data controller for the personal information described in this policy.
The short version
We collect only the information you give us directly — through our enquiry form, our invoice request form, or by emailing us — and we use it only to respond to you, process your order, and provide the Suite. We do not sell your data. We do not use tracking or advertising cookies. And critically: the client, income and expense data you enter into your own copy of the Suite stays on your own device — it is never transmitted to us, and never transmitted to HMRC.
What personal data we collect
We collect personal data only when you choose to give it to us, through:
- The "Join Early Access" enquiry form — your name, business/sole trader name, business type, email address, phone number (optional), and any message you write.
- The invoice request form — your name, business name, email address, phone number (optional), billing address, and chosen package.
- Direct correspondence — anything you tell us by email or otherwise when contacting us directly.
- Purchases — once online checkout is live, our payment processor will collect the payment details needed to complete your purchase. We do not see or store your full card details ourselves.
We do not collect data through cookies, analytics, or tracking scripts on this website. If that ever changes, we will update this policy and, where required, ask for your consent first.
What we do not collect
The UK Sole Trader Accounting Suite is a local workbook that runs on your own device. The client records, income, expenses, and other business data you enter into it are stored in your own file, on your own computer. We do not have access to that data, we do not receive a copy of it, and it is never submitted to HMRC through the Suite. Any HMRC Summary Report the Suite produces is generated locally, for your own use.
How and why we use your data
- To respond to your enquiry — legal basis: your consent, given by submitting the form.
- To process and fulfil your order — legal basis: necessary to perform our contract with you, or to take pre-contractual steps at your request.
- To provide ongoing support (e.g. the 30 or 90-day personalisation assistance included with Professional and Premium packages) — legal basis: contract.
- To meet legal and accounting obligations (e.g. keeping records of transactions) — legal basis: legal obligation.
We do not use your data for automated decision-making or profiling, and we do not send marketing communications unless you have separately opted in.
Who we share your data with
We use a small number of trusted third-party services to run our business. Each acts as a data processor on our behalf, under their own security and privacy commitments:
- Formspree — receives and forwards submissions from our website forms.
- Zoho Mail — hosts our business email, where enquiries and correspondence are received.
- Netlify — hosts this website.
- Lemon Squeezy — processes payments for purchases (once online checkout is live). Lemon Squeezy acts as merchant of record and handles payment card data directly; we never see or store your full card details.
Some of these providers may process or store data outside the UK/EEA. Where that happens, they do so under appropriate legal safeguards (such as Standard Contractual Clauses). We do not sell, rent, or otherwise trade your personal data to any third party.
How long we keep your data
We keep enquiry and correspondence data for as long as reasonably necessary to respond to you and, if you become a customer, for as long as needed to provide support and meet our legal and accounting obligations (generally up to 6 years, in line with UK tax record-keeping requirements). You can ask us to delete your data sooner — see "Your rights" below.
Your rights
Under UK GDPR, you have the right to:
- Ask what personal data we hold about you, and get a copy of it (right of access).
- Ask us to correct inaccurate or incomplete data (right to rectification).
- Ask us to delete your data, where there's no good reason for us to keep it (right to erasure).
- Ask us to restrict how we use your data, or object to certain uses.
- Ask for your data in a portable, machine-readable format (right to data portability).
To exercise any of these rights, email info@integritydigitalsolutions.co.uk. We'll respond within one month. If you're unhappy with how we've handled your data, you also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO).
Children's data
Our website and product are intended for use by business owners aged 18 and over. We do not knowingly collect personal data from children.
Changes to this policy
We may update this policy from time to time as our business and product develop. The date at the top of this page shows when it was last updated. Material changes will be reflected here.
