Inside the Suite

Every sheet, explained — before you ever buy it.

Click any register, dashboard or report on the left to see exactly what it looks like and what it does. This is the real structure of the UK Sole Trader Accounting Suite — Professional Edition, with illustrative sample data standing in for your own.

Getting Started

Owner / Trader NameYour Name
Tax Year Start Date06 Apr 2026
Tax Year Label2026/27 (fills in automatically)

The very first thing you touch. Type your business name, your name, and your tax year start date into a handful of clearly-marked cells — every dashboard, report and quarterly period across the whole Suite picks it up instantly. This is also where you name your own income types (up to six), which then appear as dropdown options in the Income Register.

Key fields

  • Business & owner name
  • Tax year start date
  • Up to 6 income sources

How it connects

Feeds every dashboard's title, drives the Income Register's dropdown, and sets the dates used throughout the MTD Quarterly Update.

Illustrative sample data — plus Date of Birth, Address, Emergency Contact, and (for care-related trades) Medical History and NHS/Reference No.

A single, centralised register of every client — their contact details, current status (Active, Lead, Inactive), and how they'd like to be reached. Built with enough optional fields to suit care-related or health-adjacent trades (medical history, NHS reference), while staying just as simple for a hairdresser, plumber, or any client-facing sole trader who only needs the basics.

Key fields

  • Client ID
  • Status
  • Contact details
  • Occupation / service
  • Preferred contact method
  • Optional: medical history, NHS reference

How it connects

Every entry here gets a Client ID, which the Income Register uses to tie each payment back to a real client — and client counts and status feed straight into the Trade Dashboard.

Illustrative sample data — the real sheet also tracks appointment time, duration, day of week and general notes.

Every payment logged against a client, a category, and a payment method — automatically grouped into MTD-style monthly periods as you go, so nothing needs re-sorting come tax time.

Key fields

  • Date
  • Client ID
  • Income by source
  • Payment method
  • Amount
  • Booking status

How it connects

Pulls the client's name straight from the Client Database via Client ID, and feeds the Master Dashboard, Trade Dashboard, Annual I&E Report and HMRC Annual Summary.

Illustrative sample data — the real sheet also calculates the taxable (allowable) amount automatically from the Business % you enter.

Every expense logged with an HMRC-aligned category and a "Business %" for anything mixed-use — so a vehicle or phone used partly for personal life gets split automatically, and nothing gets missed as a deductible cost.

Key fields

  • Date
  • Expense code & description
  • Category
  • Business %
  • Total & taxable amount
  • Payment method

How it connects

Its category dropdown is supplied by Expense Description, and every entry here flows into the Master Dashboard, Annual I&E Report and HMRC Annual Summary.

This is the reference list — you don't enter data here day-to-day, you build it once and pick from it.

The master reference list behind the Expense Register — a pre-built set of categories, codes and default business-use percentages specific to your trade, so logging a new expense is a quick pick from a list rather than re-typing (and potentially mis-categorising) it every time.

Key fields

  • Expense code
  • Category
  • Item description
  • Default business % allocation

How it connects

Supplies the dropdown lists used in the Expense Register — set it up once during onboarding, tailored to your trade.

Registers & Inputs

Owner Drawings

DateAmountDescriptionMonth
06/09/2026£400.00Owner DrawingSeptember
20/09/2026£350.00Owner DrawingSeptember
Kept in a sheet of its own, deliberately separate from business expenses.

Money you personally withdraw from the business, tracked separately from business expenses — because HMRC doesn't treat drawings as a deductible cost, and this Suite is built to never blur that line by accident.

Key fields

  • Date
  • Amount
  • Description
  • Month / year

How it connects

Shown clearly labelled — not deducted — on the Trade Dashboard, Annual I&E Report and HMRC Annual Summary, so your taxable profit is never accidentally understated.
